Welcome to the Iowa State Memorial Union. We are pleased to have you on our staff. We rely heavily on part-time student employees; we would be unable to operate without your efforts and abilities. In turn, the jobs we offer will provide you with work and career experience, job references, and financial support while you pursue your education.

Our Union is a service operation where the customer is always number one. As an employee, you will encounter students, staff, faculty, alumni and guests of the University. We rely on your best efforts to be as helpful and congenial as possible to our clientele. Your efforts will help us continue our mission of service to our guests.

This handbook will provide you with information about the Memorial Union's policies and procedures. We require that you read it thoroughly because it will answer most of your questions regarding your position. We also require that you follow the procedures described. Your job will include the duties described on your job description and may include related assignments required by your supervisor. We hope that your employment with the Iowa State Memorial Union is both productive and enjoyable.

The Iowa State Memorial Union functions as a "University Community Center." It exists primarily to serve students. It also serves faculty/staff, alumni and guests. The Memorial Union provides opportunities, conveniences, services and amenities to facilitate personal, cultural, leisure and group needs as well as to enhance the day-to-day educational and social activities of the University Community. The Memorial Union supports the mission of Iowa State University. It offers a wide range of social, recreational and developmental programs that foster leadership, personal and skill development, citizenship and social responsibility aimed at complementing the students' living and learning experiences while at the University.

The Iowa State Memorial Union Vision is to be recognized throughout the country as the leader in University Union programs, services, and facilities that are supportive and meaningful to students by:

1. The Union is the community center of the college for all the members of the college family - students, faculty, administration, alumni and guests. It is not just a building; it is also an organization and a program. Together, they represent a well-considered plan for the community life of the college.

2. As the "living room" or the "hearthstone" of the college, the Union provides for the services, conveniences, and amenities members of the college family need in their daily lives on the campus and for getting to know and understand one another through informal association outside the classroom.

3. The Union is part of the educational program of the college. As the center of college community life, it serves as a laboratory of citizenship, training students in social responsibility and leadership in our democracy. Through its various boards, committees, and staff, it provides a cultural, social, and recreational program, aiming to make free time activity a cooperative factor with study in education. In all its processes, it encourages self-directed activity, giving maximum opportunity for self-realization and for growth in individual social competency and group effectiveness. Its goal is the development of persons as well as intellects.

4. The Union serves as a unifying force in the life of the college, cultivating enduring regard for and loyalty to the college.


After World War I ended, there was an interest on campus in erecting a memorial to Iowa Staters who died in that war. After talking about a bronze plaque or a gateway arch, an outspoken group headed by the editor of the student paper lobbied for a living memorial-a building that would provide service to the college and preserve the memory of those that were lost. Students successfully rallied support on campus and then widened their campaign to alumni. By 1927, enough pledges were collected to begin construction. The Memorial Union opened in September 1928. Gold Star Hall, at the north entrance, serves as the memorial with names inscribed on the walls of Iowa Staters lost in World War I, World War II, Korea and Vietnam.

The Iowa State Memorial Union retains inherent rights to manage, including but not limited to, the right to determine the number, location, and manner of operations, number of employees, number of hours, and assignments of work; to transfer, promote, demote, lay off, or terminate for lack of work or other reasons; and to set rules, suspend, discharge or take disciplinary measures.

Employment at the Iowa State Memorial Union is at will and can be terminated by either party with or without notice at any time for any reason or for no reason.


Part-time employee orientation is a condition of employment. Part-time employee orientation is now conducted via a web-based program. All employees are required to visit the Memorial Union website at www.mu.iastate.edu during their first week of employment, complete the orientation program, and submit the completed orientation worksheet to Becki Dee in the Business Office.

You represent the Iowa State Memorial Union to the public. One of the most important parts of your job is to be as helpful and courteous as possible to customers. If they experience problems, you should show interest, take time to listen, and take action. If the problem is within your area of service, try to solve it. If you are unable to solve the problem, or if it is outside your area, notify a member of the management team or your department head. Remember that our customers are buying service as well as our product. Anticipating their needs, offering choices, saying, "Thank you," and showing appreciation for they're doing business with us are part of their service package. Customers, served efficiently and courteously, will return to the Memorial Union. Without them, none of us would be here!

Sexual harassment or any other type of harassment is illegal in the Iowa State Memorial Union and the State of Iowa. Sexual harassment is defined as any unwelcome sexual advance, requests for sexual favors, or verbal, visual or physical conduct that results in submission being expressed or implied as a condition of employment. Report any such activities immediately to your supervisor and/or department head.

The Iowa State Memorial Union is a private, not-for-profit corporation whose purpose is "devoted exclusively to the social, moral, religious, literary, scientific and educational development and welfare of the students, faculty, alumni, friends and guests of Iowa State University..." (quote from Iowa State Memorial Union Articles of Incorporation.)

The Memorial Union is supported in part by student activity fees, but receives no other funding from the state of Iowa. Along with student activity fees, revenues generated by retail operations, sales of services, rentals and donations make the Union a self-sustaining service organization.

The Memorial Union is governed by an eighteen member Board of Directors who represent the Union's constituencies: eight are students, six directors are alumni, two are University faculty/staff, one is a member of the Board of Regents, and one is the ISU President's representative. The Board of Directors delegates the day-to-day operations of the Union to the Executive Director and staff in the various departments.

Before you can be employed by and work for the Iowa State Memorial Union, the following documents must be completed in part by you, your supervisor, or department head, and the Executive Director:

PAYROLL AUTHORIZATION FORM
You complete the left side of the form and your supervisor or department head completes the right side.

I-9 FORM
You are required to provide documentation that establishes your identity, most commonly a valid driver's license and original social security card. You must complete and submit this form within three days of your start date. International students must submit a completed I-9 from the International Educational Services Office along with the completed application for Social Security Tax Exemption. International student employees are also required to sign a Non-immigrant Work Understanding form.

W-4 FORM
You are required to complete this withholding information. It is your responsibility to provide us with the number of allowances you wish to claim, if any. In the event your status changes, you may update your W-4 by contacting your supervisor to obtain a new form.

W-2 FORM
At the end of the calendar year, the payroll system generates a W-2 for reporting your state and/or federal taxes. You may claim your W-2 with your paycheck on January 10. Federal law requires unclaimed W-2's be mailed no later than January 31. For mailing purposes, we will use the address you have provided to us.
