The Memorial Union offers numerous Audio Visual services to help make your event easy and successful. The pricing for each Audio Visual package is listed in the tables below, with a more robust description of the services provided further down on this page

Notes

A Lecture or Presentation is defined as:

  • Any event with a speaker or panel as the focal point, with the intent to discuss or inform an audience of a particular topic or topics

A Performance Event is defined as:

  • Any event generally for the purpose of entertainment that includes some style of live performance.
  • Includes (but is not limited to): Performances with musical instruments, Vocal performances, Spoken Word, Comedy, or Dance performances 

* First screen is free for Student Organizations

** Only available in ballroom spaces (Great Hall, South Ballroom, or Sun Room)

*** Only available in Great Hall

**** Use of both projectors in Campanile room count as "one screen," unless different content is being sent to each projector

Minimum Staffing Requirements

Events with rehearsals or tech checks outside of the originally booked event time will be billed additional charges for labor, but not for equipment

These minimum staffing requirements are assessed on a "per room" basis

Events with multiple simultaneous rooms requiring AV may require additional AV Tech support staff, at the discretion of the Event Management Office

† Daily rate covers up to 8 hours for one AV Tech; any time beyond 8 hours must be billed hourly

†† Weekly rate covers up to 6 days of 8 hours; any time beyond 6 days or 8 hours per day must be billed hourly

(A) 1 Hour for setup + 1/2 hour for teardown if in ballrooms

(B) 1 Hour for setup + 1/2 hour for teardown in any room

(C) Event time + 1 Hour for setup + 1/2 hour for teardown if in ballrooms

(D) Event time + 1 Hour for setup + 1/2 hour for teardown in any room

(E) Event time + 2 Hours for setup + 1 hour for teardown for two dedicated AV Techs

(F) Event time + 2 Hours for setup + 1 hour for teardown for one dedicated AV Tech

(G) Event time + 1 Hour for setup + 1/2 hour for teardown for one dedicated AV Tech

(H) Event time + 1 Hour for setup + 1/2 hour for teardown for one dedicated AV Tech or event may supply their own dedicated spotlight operator

(I) Based on audio or projector/TV packages

    • All necessary video cables and adapters
    • Presentation Clicker

    • One video source to multiple rooms, or multiple video sources to multiple screens
    • Requires AV Tech for 1 hour of setup + 1/2 hour of teardown if in ballrooms

  • Panopto Webcast (Ballrooms Only)
    • Single camera static shot
    • Projector slides are also recorded
    • Public link provided to client via the University’s Panopto server
  • High Quality Webcast &/or Recording
    • Paired with the Multi-Shot camera package
    • Can broadcast to Facebook Live, Youtube Live, Twitter, Periscope, and several other services
Lighting Packages
  • Performance Event (Great Hall only)
    • Lighting console to control house and stage lights
    • Can move lights mid-event
    • Can change colors of lights mid-event
    • Programming and Cueing of lights
    • Requires one dedicated AV Tech for the event time (doors open to event close) + 1 hours of setup and 1/2 hour of teardown; additional as needed for programming
